Type in User Name & Password
Click on E-mail Marketing to go to an existing E-mail (Draft, Sent, or Scheduled)
To view Drafts, Sent, or Scheduled E-mails, go to the drop down between Status and Date. If
you are using a template or you are working on an E-mail that has not been sent, you will find
it under the Draft list.
Click on the Template that corresponds to your E-mail subject.
Click Copy
Rename the E-mail title. If it will be a reoccuring E-mail, it is best the include a date in the
name of the E-mail. (e.g. Committee Agenda 10.01.10 or The Beach April 2010)
Click Next

Give the E-mail a subject title. This is title the subscribers see upon receiving.
Select your E-mail address from the drop down menu in the Reply and Sent By fields.
Click Next
The E-mail will remain in Draft status until you schedule it. You can always "Save" and "Exit"
to continue working on it or to schedule at another time.
You are now ready to edit your E-mail. Remember to "Save" as you make each edit.

If you need to add a "Block" of information, click on "Add Blocks" and select the type of text
block you want to add. Blocks can be moved by dragging and dropping to the place you want
to place it.
Once your E-mail is ready to be sent, you can click on "Save and Continue."
You can click "Preview" at anytime to view how the receiver will see your E-mail.
In preview, review your E-mail to make
sure that all fonts and alignments are
correct according to our style standards.
You can also send a draft of your E-mail
to one or more people by entering their E-
maill addresses. You can also add a
personal note. You would use this feature
to obtain approvals or suggestions from
others before finishing and scheduling.
The next step when you click on "Save
and Continue" is to select the group to
which you will be sending the E-mail by
clicking the corresponding box. Then click
"Next."
Remember, you can only select and send
to your respective managed group(s).
Click Next.
You are now ready to send your E-mail, schedule it or leave it in Draft form. Once you have
selected your choice, click "Finish."
Remember, E-mails that have not been
scheduled or sent will remain in the "Draft" list,
where you can always make edits and send or
schedule when you are ready.
If you have scheduled an E-mail, you will find it
in the "Scheduled" list. If you need to edit it
before its scheduled time, you can always "Reset
to Draft." Remember to reschedule when you are
done.
This screen is a summary.
If you have sent or scheduled you E-
mail, you can "Log out" if everything is
set as you want it.
You also have the option of copying this
E-mail to create a new one. If your E-
mail is a reoccuring one, you may want
to select this option ("Copy") at this time
to start creating your subsequent E-mail.
Once your E-mail has been sent, it will
appear under the "Sent" list. You can view
the report by clicking on it. You can also
"Copy" it to create another like it for future
use.
You can review your sent
reports by going into the
sent folder and clicking on
your E-mail. You can
compare your E-mail opens
and clicks to other
government agencies'
reports and other City E-
mails sent.
The national average for
government agencies are
the following: 23.0% open
rate; 6.5% bounce rate; and
14.7% click-through rate.
