Gonzalez City Manager TELEPHONE VOICE MAIL STORAGE CAPACITY Date: April 21,2003 There has been concern expressed about the City's telephone voice mail box message storage capacity. In this regard, I directed the Information Technology staff to analyze the City's usage of the voice mail system and to find out how City employees manage their messages. Several months ago, the City increased storage capacity by adding 32 hours of storage for a total system storage capacity of 145 hours. While this is ample storage capacity to support the City's voice mail boxes, individual mail boxes were still experiencing capacity issues. Information Technology analyzed the voice mail storage system and determined that on a daily basis, the City was utilizing 70% of the storage capacity and that over 50% of saved messages had been saved for more than 60 days. As a result, I have directed the Information Technology staff to implement the following procedures which will increase voice mail capacity for City users and eliminate the need to add additional expensive storage: Deletion of Old Messages: Beginning May 1, 2003, all messages over 60 days will be deleted. This will allow the City to gain approximately 24 hours of additional storage space. Please contact the IT Support Desk at 305-673-7042, Press #3, if you have any messages that need to be saved outside of these parameters. The saved messages will then be moved to a cassette tape. · Additional Voice Mail Capacity: The capacity of each user's mailbox has been increased as follows: 90 messages 50 messages 30 messages Mayor and Commission, City Manager, Departmental City Manager Executive Staff, Department Heads City Employees Please contact the IT Support Desk if you have any further questions regarding this matter.
