007-1998 DMCITY OF MIAMI BEACH CITY HALL t700 CONVENTION CENTER DRIVE MIAMI BEACH FLORIDA 33139 OFFICE OF THE CITY MANAGER DEPARTMENT MEMORANDUM NO. 7-1998 TELEPHONE: (305) 673-7010 FAX: (305) 673-7782 TO: All Department and Division Directors DATE: February 10, 1998 Sergio Rodriguez _ FROM: SUBJECT: Last September the City installed a new Card Access Security System in City Hall and in the Police Department Buildings. The new system is designed to provide a greater level of security for property, as well as for all personnel. Recently, we have experienced some thefts of our computer equipment. Please impress upon all your employees that their Security Access Card is their key to the building and must be treated as such. If this security system is to be effective, Department and Division Directors need to limit the access of their respective employees' to only those hours when access to the building is required. The 24-hour, 7-days a week Access Cards should be limited to only those individuals requiring emergency access to the building. All other cards can be programmed to reflect any/all special requirements of an employee. Please review the access previously requested for your employees to ensure that the building access needs of your staff have not changed. Any changes should be faxed to Brad Judd, Property Management Division Director, at 673-7963. Also, please reiterate to all of your staff that the rear door of City Hall is to be used only as an employee entrance and must be locked 24 hours a day. When an employee uses his/her Security Card to gain access, it is important for him/her to ensure that no one (other than a fellow employee) is permitted to enter through this door. Although we still have deliveries from the rear doors, we have installed a doorbell for this purpose, and the roll-up doors should be kept closed when not being used for delivery purposes. Additionally, as an added safety precaution, please remember to lock up your private offices, especially on weekends. Also, if possible, place all lap top computers into a locked cabinet or drawer. These computers are expensive and each individual must accept responsibility for the care and safety of their assigned equipment. I appreciate and thank you for your attention and cooperation in this matter.
