LTC # 2 -$ 7— LO 13 LETTER TO O MIS ON C i y ;:I_L h;i' "s OFF ICE TO: Mayor Matti Herrera Bower and Me ers of the Ci Commission FROM: Jimmy L. Morales, City Manager - - -. DATE: August 16, 2013 SUBJECT: The Barclay Elevator Status U ate The purpose of this Letter To Commission is to provide an update on the progress being made to repair the elevator at The Barclay, an affordable housing property owned and managed by Miami Beach Community Development Corporation ( MBCDC). As you may know, the elevator at the Barclay has been out of service since last year. The City awarded MBCDC $65,000 to modernize the elevator as part of its FY 2010/11 allocations. Through September 13, 2012, the City actually released $70,400 to make the necessary repairs. Unfortunately, MBCDC encountered unforeseen challenges requiring additional funds including remediation to address termite damage and the full replacement of the elevator machine room. On July 16 MBCDC requested a budget amendment to address these unforeseen repairs. However, the -budget amendment submitted by MBCDC omitted the documents required for approval. Staff has worked diligently with MBCDC to obtain the necessary documentation and approved $64,074, the full cost for the replacement of the elevator machine room, on August 19, 2013. In addition, the City authorized the release of $35,249.52 in reimbursement requests that were being held pending MBCDC's provision of the required documentation. More funds will be released when MBCDC submits the required documentation. As of this writing, MBCDC projects that the elevator will be fully functional no later than September 15 allowing the necessary time for the Building Department to conduct all necessary inspections and tests.
