The purpose of this LTC is to make you aware of the CIP Office's efforts to keep all Miami Beach residents fully informed of CIP projects and relevant meetings. For the first round of community meetings, each of the city's 13 neighborhoods received a direct mail newsletter, "New Horizons", which had detailed information specific to each neighborhood. Newsletters have been mailed to approximately 30,000 residents in 10 different neighborhoods and were generally viewed positively by residents. On the banner of these newsletters the reader is advised (in Spanish) on how to receive information in Spanish. As a result of this, several requests for translation have been received by the CIP office and immediately translated and provided. All newspaper advertising has been done in Spanish as well as English when the papers have a publishing timeframe that coincides with meeting notice dates (samples attached). Some of the Spanish language newspapers have irregular printing schedules. In addition, the department has received assistance with information dissemination from the Hispanic Community Center. The CIP Office has followed established policies with regard to notification and routinely promotes meetings on the City's cable channel, calendar of events and both the city website and www.cmbproiects. In addition, the Department has requested the assistance of all civic and homeowner's associations. In some neighborhoods, the department has hand delivered notices to building managers, requesting that they post meeting information. When possible, we provide Spanish translations at meetings. The CIP Department is currently exploring the costs associated with translating all printed materials, and printing in two languages. As always, we will continue to explore methods to enhance communication with our Hispanic residents.
