Morales, City Man DATE: June 13, 2018 SUBJECT: NEW PARKS AND RECREATION REGISTRATION SYSTEM — RECTRAC LAUNCHES JUNE 25, 2018 The purpose of this LTC is to inform the Mayor and Commission that beginning on June 25, 2018 the Parks and Recreation Department will implement its new registration system, which will provide families with an even better experience when browsing, registering and paying online for programs, classes, activities, tennis court bookings and facility rentals. In order to make the transition from our current registration system, Capturepoint, to our new registration system, RecTrac, as smooth as possible, customers will have the opportunity to create their new profiles online for a period of 4 weeks (June 25th — July 20th) before After School Rollover Registration begins on Monday, July 23, 2018. Customers will be able to create their profiles after July 20th as well; however, we are greatly encouraging for them to do so during this 4 week period in order to provide greater assistance. Staff will be readily available to assist customers with the transition and to help with creating profiles to ensure the process is smooth and successful. During this time, current members and new members will update or create their profiles online and visit one of the designated recreational facilities to prove their residency status for their Miami Beach Resident discount and receive their key fob for identification and check-in purposes. Customers are encouraged to update their profile and complete residency verification within the timeframe so they can avoid any issues when registering for activities during the new school year. Registration dates beginning on or after Monday, July 23, 2018 will be done with the new system, RecTrac, while any registration before Monday, July 23, 2018 will be completed on the current software, Capturepoint, until it is phased out. Online Facility Rentals will begin on October 1, 2018 and tennis court bookings and program registration at the Flamingo Park Tennis Center is expected to begin in September 2018 (Miami Beach Tennis Center is currently "live" with the new registration system). The Parks and Recreation Department will be actively announcing the launch of the registration system and the community will begin to receive the attached flyer with step by step instructions on how to create their family profiles and how to verify their residency on Monday, June 18, 2018 through the following marketing efforts: • Direct mailing to all households on Miami Beach • Flyer Distribution and Banner postings at all programmed recreation facilities • Flyer Distribution for all Summer Camp participants • Emails to all current members • Constant Contact • Social Media • Updates on the City Website • Hosting an event to help seniors build their profiles • Pop-up tent with information at upcoming events Should you have additional questions, please contact Cindy Casanova at (305) 673-7730. Birth Certificate for each Family Member under 18 years old Upon visiting one of the porks and proving residency, park stuff will take a photo of each family member on our new system and provide a key fob for identification and check-in purposes.
