Morales, City Manager ff • DATE: August 14, 2019 SUBJECT: City of Miami Beach - Special Event University The purpose of this Letter to the Commission ("LTC") is to inform the Mayor and City Commission of the Special Event University that was held by the Tourism and Culture department, in conjunction with various other City of Miami Beach departments on Wednesday August 14th at 10:00 a.m. in the Commission Chambers. This initiative was aimed at the Special Events industry as a way to get producers into the same room and walk them through the special events permitting process to ensure the same information was being communicated to all parties. The event was incredibly well attended, with the Commission Chambers at capacity with over 125 producers. This initiative is intended to provide a training seminar for event producers who wish to obtain a special event permit from the City of Miami Beach. The completion of this training is mandatory in order to obtain a "Special Event Permit", and the training will be valid for the same duration as the current building code legislation (currently every 3 years in the State of Florida). Following this presentation, the training will be available online for those who were unable to attend. The "Special Event University" was created as a result of many of the same questions being posed to the Tourism and Culture department, and after many of the same infractions (knowingly or unknowingly) were being committed by event producers. Each department who is a part of the Special Event permitting process has provided the relevant information for this training, with the main goal being to educate our producers on the importance of our timelines and process and to better understand the importance of each department's involvement. City of Miami Beach departments were in attendance to present a united front to our industry, while being available for questions and answers. The main goal was to help the industry better under our process, and to get buy in on how important it is for them to follow up the rules, garner the respect of our residents and ensure that we remain good partners with the County and State Topics discussed included, but not limited to Life Safety, Transportation and Sanitation Plans, ADA compliance, and the importance of working in tandem with the State of Florida, and our environmental and resiliency efforts. Attendees left with a one-page contact sheet for all relevant departments to help them navigate the permitting process and allow ease of asking questions in the future. It is our genuine hope that this training will bring together our Special Event Producing community, 1 while providing helpful information and tips on the process to further streamline our efforts as they are related to bringing world class cultural happenings to our City in a safe and secure manner.
