NO. LTC # 311-2013 LETTER TO COMMISSION
TO: Mayor Matti Herrera Bower and Me ers of the ity Commission
FROM: Jimmy L. Morales, City Manager
DATE: September 5, 2013 '9 ..
SUBJECT: The Barclay Apartments Elevator Status Update 2013 SEP °6 At1 9: 17
The purpose of this Letter to Commission is to provide an update on the progress made on the
repair of the elevator at the Barclay Apartments since LTC #287-2013, dated August 16, 2013.
At the time of the previous LTC, the City had authorized, but not released, a reimbursement request
in the amount of$35,249.52 because Miami Beach Community Development Corporation (MBCDC)
had not provided the necessary supporting documentation. Since that time, the City has released
those funds and also approved and released an additional $50,782.19 for a total of $86,031.71.
There are currently no payment requests pending for this project. Please further note that the City
processes appropriately submitted pay requests within ten days.
Following is an abbreviated payment timeline for this project:
Abbreviated Timeline
Date Action
September 1, 2011 Elevator permit obtained
October 11, 2011 Payment#1 for$46,458 released
January 4, 2012 Payment#2 for$42,590 released
October 12, 2012 Payment#3 for$22,111.72 released
August 1, 2013 Building Department issues 30-day order for repairs
August 19, 2013 Payment#4 for$35,249.52 released
August 27, 2013 Payment#5 for$50,782.19 released
The total amount of City funding released for elevator repairs for this project is $197,191.43.
In the last two weeks MBCDC has made significant progress. The elevator machine room and
elevator cab are nearly complete. The elevator controller has been installed in the machine room,
and the majority of the wiring has been installed. The primary issue contributing to the delay of
completion is the delivery and installation of the elevator hoist machine. This was ordered from a
manufacturer in Illinois, and although it is in expedited production, the delivery could occur as late as
September 30, 2013. Once it is delivered; the installation, testing, and passing inspection could add
an additional two weeks. This means that, in a best case scenario, the elevator would not be
operational until mid October.
