Morales, City Manager DATE: July 18, 2017 SUBJECT: Status Update on Request for Pro osals (RFP) No. 2016 -074 -WG, for Interactive Digital Media Kiosks The purpose of this LTC is to update the Mayor and City Commission on the status of Request for Proposals (RFP) 2016 -074 -WG, which seeks to establish an agreement with a qualified firm for interactive digital media kiosks. Through the RFP, the City is considering proposals from qualified firms for the design, fabrication, installation and operation of interactive digital media kiosks (the "kiosks") in the public right-of-way and other public areas as determined by the City. The final quantity and location of the kiosks is yet to be determined and will require City Commission approval. The City Commission has expressed its desire that the kiosks will improve the experience of residents and visitors within Miami Beach by: • providing wayfinding information to civic and cultural institutions, restaurants, retail and other businesses; and • providing information on local events; and • providing information on transit options; and • serving as a critical dissemination point for City messages during emergencies; and • serving as a surveying tool to solicit feedback from residents and visitors. On May 16, 2017, the City received proposals in response to the RFP. The RFP required proposing firms to install an on-site demonstration unit of the technology proposed. Given that the kiosks are usually custom fabricated for each customer, the RFP did not require the demonstration units to be of the same design as the units proposed in response to the RFP. The demonstration units are only samples of the technology (displays, software, etc.) proposed by vendors and not the actual design of the final kiosks. The final design of the kiosks may vary from the demonstration units and must be approved by the City's applicable boards or committees. Demonstration units have been installed on the third floor of city hall adjacent to the commission chamber. A survey has been created and posted on surveyMB.com seeking input from residents and visitors to city hall that may interact with the proposed technology. Demonstration units will be installed through August 18, 2017, and may be accessed during regular business hours. Because of the active Cone of Silence on the RFP, allowable communications between proposers, staff, and the Mayor and City Commissioners is restricted. However, it is my hope that the technology proposed should be self-explanatory and easy to use. I anticipate finalizing an award recommendation for the September 13, 2017, City Commission meeting.
