Gonzalez \. d City Manager 0 SUBJECT: WEEKLY UPDATE Date: May 31,2002 TO: The purpose of this LTC is to provide the Mayor and Commission with an update describing some of the areas the Administration focused on during the weeks of May 20 and 27, 2002: Neighborhood Leadership Academy - The Neighborhood Leadership Academy, the civic and public information program designed for residents of Miami Beach that provides them with the information and resources to become more knowledgeable members of our diverse community, met on May 20 with representatives of the Fire Department presenting. The participant's surveys completed at the end of each session were extremely positive and the residents participating keep offering very positive feedback about the sessions. The final presentation will be by the Police Department on June 3. The "graduation" ceremony is scheduled to take place during the June 19 Commission meeting. Memorial Day Weekend 2002 - Representatives from the Administration continued to meet throughout the week of May 20 to plan, prepare and allocate resources for the holiday weekend and worked throughout the weekend to ensure that all activities associated with the holiday weekend were a success. City staff is to be commended for all their hard work before and during the weekend. Over 77 different television items appeared about Memorial Day and the City's plans with a very positive focus on our efforts. A number of print items also appeared. The Administration will be compiling both the 1V and print items that appeared about the weekend and sharing with the Mayor and Commission. All-America City Award - Representatives from the Administration are continuing to meet to plan for the award competition taking place in Kansas City from June 13-15, 2002. As one of 30 finalist communities, the City will send a delegation of about 35 residents, business owners, elected officials, and City staff to Kansas City to present and discuss our application and make a presentation that covers all aspects of our application. ~ ,w Art Basel I Art Basel Miami Beach - Representatives from the Administration met with representatives from Art Basel to continue to prepare and plan for events taking place at Art Basel in Switzerland and Art Basel Miami Beach taking place December 3 - 8, 2002. Issues discussed for the Art Basel Miami Beach event included: Parks and Recreation, Public Works, Capital Improvement Projects, Economic Development, Code Compliance, Collins Park I Bass Museum, the Tourism Office and the Goodwill Ambassador teams we plan to deploy during the event. Departmental Budget Reviews - The City Manager and representatives from the Office of Management and Budget continued to meet with representatives from City Departments to discuss budget plans and allocations for the 2002-2003 fiscal-year. Hurricane Preparedness Plans - The Administration has been continuing to meet to update plans for this year's hurricane season. Teams of each of the following functional areas have been meeting to further outline and update the City's plans: (1) Public Safety; (2) Operations; (3) Logistics; (4) Administration and Finance; and (5) Planning and Information. In addition, representatives from the Administration attended the Governor's Hurricane Conference in Tampa the week of May 20. The Administration has scheduled a "Hurricane Fair" to take place on Saturday, June 1 from 10:00 a.m. to 1 :00 p.m. on Lincoln Road that will provide residents and businesses with information to better help them prepare and plan in the event of a hurricane. On June 4, representatives from the Administration will be participating in the statewide emergency drill being coordinated by the State and County Emergency Management Offices. Once all our plans are finalized, they will be communicated to the Mayor and Commission. Grants Management - The City was awarded the following grants: (1) $200,000 from the Land and Water Conservation Fund for the renovation of existing and construction of new picnic pavilions at North Shore Open Space Park; (2) $161,000 from the Urban Parks and Recreation Program for the construction of a new recreation building at Fairway Park, and (3) $9,016 for the Bulletproof Vest Program to be used to off set Police expenses in buying new and replacing bulletproof vests. Boucher Brothers Management - Representatives from the Administration met with representatives from Boucher Brothers to review their six-month performance and address contract issues. Performance (based on the information discussed) has exceeded the City's expectations.
