LTC # 193-2018
LETTER TO COMMISSION
TO: Mayor Dan Gelber and Members f the City Cmmission
FROM: Jimmy L. Morales, City Manager\
DATE: April 13, 2018
SUBJECT: Demonstration Period Pursuant Requests for Proposals (RFP) 2017 -074 -
WG Interactive Digital Media Kiosks
The purpose of this LTC is to update the Mayor and City Commission on the status of
Request for Proposals (RFP) No. 2017 -074 -WG for interactive digital media kiosks.
On February 14, 2018, the City Commission approved the short -listing of Smart City Media,
LLC and Orange Barrel Media, LLC for further consideration by the Mayor and City
Commission. The City Commission requested that each firm install a sample kiosks unit
for, a period of at least thirty (30) days, to provide the Mayor and City Commission, as well
as the general public, with an additional opportunity to interact with and understand the
functionality and size of the kiosks prior to final selection by the Mayor and City
Commission. The City Commission also suggested Lincoln Road as a possible site for the
installation of the demonstration units.
In coordination with the Lincoln Road. Business Improvement District staff, a site for the
temporary installation of the kiosks has been selected on Lincoln Road, just east of
Jefferson Avenue, across from 846 Lincoln Road. The City has completed the electrical
requirements necessary to facilitate the installation. Additionally, staff has met several
times with the firms to coordinate the logistics of the installations and the demonstration
periods. April 15th has been selected as the target date for installation.
Both firms have now been given the go ahead to install the units on or after April 15th. The
firms are currently finalizing the necessary permits required prior to installation. Once
permits are obtained, the installations can begin. One firm has informed the Administration
that, due to a death in its corporate family, it cannot likely install its unit until May 1st. Both
units will be installed through May 31st
Originally, the Administration had intended to work with the firms to place a survey on each
kiosk to gather information from those interacting with the units. However, the firms
expressed concerns about the validity of the survey as there is no way to control who can
interact with the kiosks. Therefore, the Administration is not pursuing the survey option at
this time. However, the Administration will be monitoring the operation of the units on a
daily basis.
I encourage the Mayor and City Commissioners to visit the demonstration units when they
are installed, as well as encourage your constituents to visit and provide you with any
feedback you may need. If you wish to confirm that the units are installed and operating
prior tour visit, please feel free to contact my office.
